As part of the Big Help Out we are asking, do you have 2 hours a week to support 3rd Chalkwell Bay, primarily from the comfort of your home? We are seeking volunteers to provide administrative support in a variety of areas, including Health & Safety, Finance, Membership and Boating Activities. The following roles would only require no more than a couple of hours of your time per week, but will make a real difference in allowing the leader team to focus on activities rather than paperwork.

Health & Safety Administrator

Supporting the Group Scout Leader. Maintain our library of risk assessment ensuring those submitted by our members are in a standard format. Where risk assessments are due for renewal, request and chase updates from the author. Ensure that Risk Assessments are circulated to relevant members. Provide a monthly update to the Group Scout Leader. If the role holder has experience of health and safety, to provide appropriate advice – This is NOT essential.

Policy Administrator

Supporting the Group Scout Leader. Maintain our library of policies ensuring those submitted by our members are in a standard format. Where policies are due for renewal, request and chase updates from the author. Ensure that policies are circulated to relevant members. Provide a monthly update to the Group Scout Leader.

Assets Administrator – Filled

Supporting the Treasurer. Maintain an Assets Register holding necessary information for all assets of a notable value. Publishing the register to relevant parties on a monthly basis. Being point of contact for all members that purchase assets to ensure they are properly recorded including receipts etc. Undertake an annual inspection of assets.

Boating Administrator – Filled

Supporting the Group Scout Leader. Maintain the Boating Team records, bookings and calendar using the Online Scout Manager and Bookwhen systems. Attend monthly 1 hour meetings with the team taking notes and managing actions that come from the meeting.

Youth Membership Administrator – Filled

Supporting the Group Scout Leader. Maintain the Waiting List and Young Leaders records using the Online Scout Manager system. Assist with membership enquiries coming into the Group via the Membership Enquiries mailbox. Assist in the preparation of a Section Planning & Waiting List Review Report and attend termly meetings relating to that report and manage the actions.

Adult Membership Administrator – Filled

Supporting the Group Scout Leader. Maintain the Adult records using Online Scout Manager and Compass systems ensuing that data in both systems match. Manage DBS applications ad renewals and monitor mandatory training renewals. Provide a monthly update to the Group Scout Leader.

Projects and Fundraising Administrator – Filled

Supporting the Group Scout Leader. Assist in the preparation of a Project and fundraising Plan and attend Finance meetings as and when they occur. Actively seek updates on projects and fundraising from those running projects. Provide a monthly update to the Group Scout Leader.
